Privacy Policy

 

Kinseido Corporation (“Kinseido”) contributes to the development of society through language education, and aims to become a company that earns the trust of all customers and high acclaim from society.

Accordingly, Kinseido regards the protection of personal information as a key priority for business operations, and all directors and employees are at all times aware of their responsibility to protect personal information. In addition, Kinseido strictly observes laws and regulations as well as internal rules related to privacy protection, and protects confidential information including personal information. In order to fulfill your expectations, Kinseido strives to manage personal information appropriately as follows:

 

1. Kinseido may collect, use, and provide personal information within the scope of business purposes by clarifying the purpose of use. Kinseido will use the information through legal and fair means to the extent of achieving business purposes. In addition, Kinseido will improve the internal management system and will take safety control measures in order to prevent the use of personal information for anything other than the intended purpose.

 

2. Kinseido complies with applicable laws, guidelines established by the government, and other regulations regarding the handling of personal information.

 

3. Kinseido takes rational safety measures, precautionary measures and corrective measures technically and organizationally to prevent risks such as unauthorized access, destruction, falsification, leak, loss or damage of personal data.

Kinseido establishes a contact point for questions and complaints regarding the handling of personal information, as well as inquiries about the content of the personal information protection policy, which is set forth in “Handling of personal information, 2. Matters relating to personal information subject to disclosure, (4) Contact of request for disclosure, complaints and inquiries”. If there are any questions, complaints, or inquiries regarding the personal information protection policy, Kinseido will seek to respond and take measures promptly and with integrity.

 

5. Kinseido strives to continually improve the personal information protection management system and internal rules related to the protection of personal information as necessary.

6. Kinseido may ask individuals to provide personal information in the following cases:

(1) When Kinseido received inquiries

(2) When it is necessary to perform business operations besides (1) above Please note that Kinseido may use personal information within the scope of the purpose of use even after the contract with the contractor is terminated.

 

7. In order to provide services, Kinseido may entrust the handling of customers’ personal information to trustees.

In such a case, Kinseido will ensure that trustees are thoroughly supervised to prevent leak of or unauthorized access to personal information.

8. Kinseido will not disclose personal information to a third party other than the trustees without obtaining the consent of the individual.

 

9. Kinseido will train all personnel engaged in the business activities to enhance their awareness concerning the protection of personal information, and will appoint a manager in each department who handles personal information to ensure appropriate management.

Handling of personal information

About video recordings

When you come to our office, the reception will be recorded by a surveillance camera.

Recorded video footages will be used for security purposes. (The location of a camera and the purpose of video footages will vary as necessary.)

3. Procedures for requesting disclosure of personal information, etc.

When requesting notifications, disclosure, corrections, addition to, deletion of your personal information, or suspension of use or provision to the third parties, please follow the procedures below.

 

(1) Personal information subject to disclosure

The scope of personal information subject to a request for disclosure shall be the name, address, and other information, which Kinseido acquired on its own initiative and currently holds.

(2) Where to make a request for disclosure

Please contact our customer service indicated in 2.(4) above.

(3) Identity verification documents

1. In cases when the individual in question makes the request

Copy of official certificate such as a driver's license or passport, health insurance card, etc.

2. In cases when a proxy makes the request

The individual's seal registration certificate and letter of a proxy from the individual

(4) Fees

No fees are required when making a request for disclosure, etc.

(5) Notes when making a request for disclosure, etc.

・We may not be able to respond to requests for disclosure, etc. in case the documents as mentioned above are incomplete.

・Personal information acquired regarding requests for disclosure, etc. will be handled within the scope necessary to respond to those requests. The documents submitted in response to requests for disclosure, etc. will not be returned.

・We will respond in writing to the individual (or a proxy) at the address indicated on the application form.

・Please be aware that you will not be able to use services for the relevant personal information subject to disclosure, in response to requests for suspension of use or deletion of your personal information, or suspension of use or provision to the third parties.

 

4. Provision of personal information

We will not provide customers' personal information to any third party except in the following cases.

 

(1) When with the consent of the customer

(2) When there is a legitimate reason

(3) When it is necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the consent of the customer

(4) When entrusting the handling of personal information within the scope necessary to achieve the purpose of use

(5) When it is particularly necessary for enhancement of public health or promotion of sound growth of children and it is difficult to obtain the consent of the customer

(6) When it is necessary to cooperate with a national government organ or a local government or an entity entrusted by either of the foregoing in performing the affairs prescribed by laws and regulations, and obtaining the consent of the customer is likely to interfere with the performance of those affairs.

 

5. Entrustment of personal information

We will select and evaluate outside contractors and supervise them appropriately, including the conclusion of contracts.

 

6. Voluntary Nature of Provision of Personal Information

Personal Information is provided on a voluntary basis, but customers should note that if information is not provided, this may cause inconvenience.
